When an enquiry is placed via www.CheshireCountryHolidays.co.uk or www.cheshirecorporateretreats.co.uk we ask for the following personal information in order to respond to your enquiry;

We also ask for information regarding the dates you wish to book your holiday.

We hold accounts on Facebook, Twitter, Instagram, and LinkedIn. When an enquiry is made via these social media outlets we will ask for the following details in order to respond to your enquiry;

We also receive enquiries via the following third parties; Lastminute Cottages, Group Accommodation, Country Cottages Online, Big Cottages, Hen House, Holiday Lettings, Independent Cottages, Celebration Cottages, Comfy Cottages and we receive the following details;

Bookings

Bookings are managed via Bookalet. The following information is collected in order to process your booking and receive payment.

Payment Details These are managed via Bookalet and Paypal who have their own privacy policy. On occasion payments can be taken via BACS, where we do not obtain your payment information, or by telephone payment where the information is directly inputted into a card payment machine and not stored.

Booking Information is held for 12 months for tax and insurance reasons.

Guest Information

We collect names, phone numbers and email addresses for all guests staying at the property for insurance reasons.

Refunds

For the purpose of damage deposit refunding we will receive your payment details.

IP Address

For the purpose of marketing, research and analysis we also receive your IP Address, the length of time spent on the site and the pages/information accessed and error information.

Cookies are also used third parties on our website and social media platforms.

1.2 How Do We Collect This Data?

Enquiries

The data you have chosen to supply us with is submitted through our websites and third party websites directly to our email account. Information is then stored on our email.

Information sent to us via Facebook, Twitter, Instagram or LinkedIn will be forwarded onto our email address account.

Bookings

Booking Information is stored on Bookalet. Contact details are then printed and stored as a hardcopy. This does not include payment details, which we do not receive for bookings.

Guest Information

Guest information supplied to is collected via email and stored as a hardcopy.

Refunds

Deposit Refund payment details data is provided to us via Bookalet. We store these details as a hardcopy for 12 months.

IP Address

IP address, website usage and cookie information is supplied to us via third parties, who have their own privacy policies.

1.3 Why Do We Collect This Data?

We require your name, email address and telephone number to contact you regarding your enquiry and booking.

We require your guest information for insurance.

We require your booking information for tax reasons.

We require your bank payment details to provide you with a refund of your damage deposit.

We collect details of your IP Address, website usage and cookie information for the purpose of marketing, research and analysis as well as to improve the user experience.

1.4 Do We Share This Data?

 We do not sell your name, email address, telephone number or payment details with any third parties.

We share your name, email address, telephone number with Bookalet to confirm bookings and send payment reminders.

We do not share or sell your guest information.

Your IP Address, website usage and cookies information is shared with Google Analytics and third parties for the purpose of marketing, research and analysis.

2. Using Your Data For Marketing Purposes

2.1 Opting In

We currently do not send any marketing or promotional emails. We would require your permission to do so.

2.2 Opting Out

There is no need to opt out of marketing or promotional emails as we do not operate an email list.

3. How Do We Keep Your Data Secure?

3.1 Data Stored Digitally

The information collected during the enquiry process from our own websites and lastminute-cottages.co.uk is sent to our email server. Information collected via our social media outlets is stored on Facebook Messenger, Instagram, Twitter or LinkedIn all of whom employ their own security measures, details of which can be found on their own sites.

The information collected during the booking process is stored on Bookalet, who have their own security policy.

The guest information provided to us is not stored digitally.

The information provided to us for damage refunds is not stored digitally.

The IP Address and website usage information is stored via Google Analytics and third parties, who have their own security policy.

Devices in our possession that have access to our Email, Facebook, Twitter, Instagram, LinkedIn, and Bookalet account are as follows;

We employ password security on all our devices and accounts.

3.2 Data Stored As A Hard Copy

Booking information including personal details and contact information is printed and stored within locked premises at the registered business offices. This is accessed by key personnel only to contact you about your booking and prepare our accommodation for your stay. This is stored for 12 months before being securely destroyed.

Damage deposit refund banking details is printed and stored within locked premises at the registered business offices. This is accessed by key personnel only to ensure refunds are processed correctly. This is stored for 12 months before being securely destroyed.

Guest information collected is stored as a hardcopy within locked premises at the registered business offices. This is accessed by key personnel only for insurance purposes. This is stored for 12 months before being securely destroyed.

4. Requesting A Copy Of The Data We Hold

4.1 The Process

You can request a copy of all the data we currently hold on file for you. We are legally required to provide this to you free of charge and within a month of the original request.

5. Requesting We Delete All Data We Hold

5.1 The Process

If you want us to delete and destroy all information we have on file we are legally required to do so should you request it.
